Frateur-De Pourcq, Everything on rails
Frateur-De Pourcq is a Belgian contractor for railway, tram, metro and cranetrack works and has built a strong national and international position. With a history of over 130 years they are one of the oldest family (6th generation) owned companies in Belgium. Their passion for railways started in 1887, where small locomotives started to replace horses in the brickworks industry in Boom. Mister Frateur, the founder started as a track merchant back then in 1887.
In 2012, Nathalie Rotthier, together with her father and brother becomes responsible for the family business and takes the decision to prepare Frateur-De Pourcq for the next 130 years. One of the elements Frateur faces at this point is the massive amount of information and documents all over the organization. Nathalie looks out for tools that can handle the complexity of their business but at the same time are easy to implement and use in all divisions of their business.
In 2013 Frateur-De Pourcq decided to adapt the SMARTdoc documanagement solution (powered by Accel, SMARTdoc integrator & customer). Although Frateur-De Pourcq was already well-structured with firm document processes, the fact that people in the construction industry are always on the road and rarely in the office to process, validate or approve became more and more an issue.
The no nonsense approach of the SMARTdoc project team, combined with their easy user interface made that the users at Frateur-De Pourcq accepted the SMARTdoc solution very quickly.
Nathalie Rotthier and the SMARTdoc Project Management Team decided to take a step by step approach. First step was to create a digital process around the more common administrative information and documentation, to get accustomed to the new way of working and the easy way to archive and retrieve information from SMARTdoc. The second phase was to move the complete validation and approval process for invoices from paper to SMARTdoc. Together with our project team, Nathalie decided to appoint two ambassadors to lead this change. This approach turned out to be a success as the acceptance of the new validation and approval flows was faster than expected.
