Files are stored within the database as an original document. This means that Smartdoc keeps an exact original and neither a copy nor a link to the original location.
Standard metadata, such as original file name (Smartdoc can rename files automatically), creation date and archival date are included. Depending on the original file, other metadata can also be stored with it, such as author or GPS locations (for photos).
Method
Every document that ends up in Smartdoc is fully analysed. For example, the database is filled with the full text content of the document, regardless of its form or origin.
In addition to content and standard metadata from the original document, there is another form that arises automatically, namely the audit trail of the document. All traceable manipulations of the document are stored.
By storing the document in a central place, everyone can add documents to the Smartdoc database.


Storing documents from plugins
Documents can also be saved from standard available plugins. These work within outlook, word, excel and powerpoint. It suffices to press the “Archive” key within the Office applications.
For Outlook, it is also possible to save sent mails by default using the “Send & Archive” key. This process can also be automated.
